uh... good morning everybody and thank you for joining us for our webinar
and demonstration get the most from your prevention data
I'm Mandy Sadowski also with me today is Matt Abbit, he's a business analyst here on our team
we will take questions for the webinar
and they are
in order to minimize the disruption the phone lines are muted
so you'll see a question que in the interface and you can type in your question
there during
uh... the presentation
and at the end of the presentation and demonstration we'll answer as many of
those questions as we can
uh... our most popular question is always, will this presentation be made available
uh... yes
we will send you a link to the recording in about a week
uh... Depending on when
we get that uploaded to the sight so we can make it easy for you guys to consume it
it's a very large file so we wanna
do all the things on our side to make it very easy to get to
but yes we will be making that
so with that we're going to go ahead and get started
over the years damage prevention has evolved
or at least the perception and expectation
of it and of the professionals doing this has evolved
managing tickets
is certainly still the core and a necessity
but it so much more than that
you see here on this slide, a lot of different things you need to be
aware of
and that maybe people in these groups are demanding of you everyday
uh... youre expected to make key decisions
or at the very least provide the analysis
insight
and metrics
to help others make key decisions
you're expected to communicate efficiently and effective to all stakeholders
and many of you worry about compliance whether that federal or state or
company regulation
uh... And other functions and groups all want a little piece of your time
public awareness, field operations management
uh... everyone's
asking you for things and
it can be a burden
to try and answer all of these questions and manually do what
each individual group or person is asking for. So more is being asked of you and
today we're going to show you how you can fully leverage
the data that you have, getting the most from your
existing damage prevention data
so to make this a little bit
easier and clearer to all of those are asking for a little more
of your time
uh... You use irthnet
and you understand the power of using
best one call ticket management software available
and we're proud to continue to enhance and offer irthnet after more than fifteen years
this industry
in talking to our customers it's clear that many of you are spending
tons of time
trying to understand more about the data gathered in irthnet
that damage prevention data is valuable for gaining insight, identifying trends, things like
that
and many of you may be spending tons
and tons of time, building spreadsheet
pivot tables, time responding to requests for more information
today in a demonstration uh... Matt's going to show you irthnet
anthem features, tips and tricks to get more from your data
uh... and you'll even get a sneak preview of some improvements for export
functionality
that haven't been yet released to the market, so that's kind of cool
a little sneak preview uh... coming very soon and Matt will show you some of those enhancements
after that Matt's going to jump to Utilisphere intelligence center
and many of you may already have this
and show you the power of intelligence center for doing even more with your data 3:40 maximizing the effectiveness

uh..with that i'm gonna go ahead and turn it over the Matt and let's jump right in
to demo i know that's what you guys wanna see
and um
go from there
alright, the very first thing we're going to start with is actually something very familiar to all of you
or at least it should be
what we're going to do is look at irthnet first and figure out
how you can get your data out
there's a lot of people who actually need to manipulate the data
uh... go in there pull the data do some analysis on the data
were going to show you first how you can do that
and then we're going to move to intelligence center
so the very first thing here is within irthnet if I come to irthnet
and come to the ticket summary screen
what a lot of people don't realize is that this ticket summary screen actually acts as a
mini adhop report writing tool
and what i mean by that is when you come to the screen, you're going to see things
like the columns right here
that display that particular data
now what you can actually do you have control of the way that this information
is displayed and the information on the display
so if I scroll down to the very bottom of my screen
it will actually tell you what screen you're on here in the filter
if i come over a scroll over this little icon here it says screen details
by clicking on this icon it's going to actually pop out and give me additional functionality
things like that here are selecting the actual field for the screen
so what i have down here is that actually
shows me
the screen fields right here
so these are the columns that were on a particular tickets from a screen
now if I want to modify those columns I can actually come in here
to say select fields for the screen
and what i have now are the ones that checks
are the ones are displaying correctly
of course you can always check off additional ones want to display
and that's how you can actually change the columns
now the other thing you can do with this here
is that the columns are displayed in a particular order from top down it's basically
left to right so contact name will be on the left
you can actually come in here and change the display orders
simply by clicking stage screen
now along with that here
that will actually modify the way the screen looks and the columns that are in the
screen
and the display order of those columns
but it doesn't actually change the data that you're polling on this particular query
within the screen
you can also do that as well though
so again if I scroll to the very bottom
I have a particular filter right here, if I just scroll over this icon right here, says filter
group
by clicking on this here its gonna pop up now and allow me to choose different kinds of group filters
right here
and I apply different filters to display the information I want to pull
now the other thing about the screen
is that the data doesn't just have to stay within the application you know if
you pull data a particular way
you wanna be able to get that data out...now how do you do that?
if I could come up here to my left hand side and check all
i could check everything that shows you how many are selected out of the total
i can check individual ones
and so on but what I can do now is if i come over to my select
an action to perform
and go all the way to the bottom i have the ability to export the data that's
on the screen
so at the very bottom you actually see here export ticket summary data to text file,
export ticket summary to html we have this external routing type export
and then we have this download ticket shape file
one thing that one of the things that we hear a lot
are that people like to get the data out and put into some other type of GIS system
or NESRI system or something like that
well this ability right here for downloading the ticket shape file
allows you to do that it actually provides you with a GIS file that you can upload in your GIS System
so i click on this for instance
its actually going to bring me into the export section and what you see are all the exports
that I ran previously
this is the one i just request that you can see that's being qued
and as soon as its ready you can change the status to ready here and I
just click on it and download, whatever the export is
so that's the very first thing
that's how you can actually use that ticket manager as a mini adhop reporting
tool
so the next thing that we have within irthnet itself
we have reports
and we have exports
reports are really that single click option to get your data quickly and
efficiently
standard reports that are in here uh... some of you may see customer or categories if we've
created customer reports for you in the past
but basically when you come over here to reports and click on reports what you're
seeing on the left hand side are your report categories and then you're actually seeing
whatever the report is on the right hand side
if i come here on the ticket listings of popular particular category
if I click on my closed ticket listing report
it will open up a pop up screen that will allow me to actually run this report and choose the
parameters and the criteria
we'll give that a second here
so here's my particular report right here, I'm going to change the actual filter
the parameters
from six one to six twenty six
the other thing is when you run different reports you might have different parameters
up here
if there are standard reports where you need additional parameters you can let us know what those are
we can always add those for you as well
but since I've added in the data that I want here I'm just going to click view report
and my report is now gonna go out run
and its going to take a second to load
and while its loading here, the other thing is that and this is a question we
get a lot
people ask us
do standard reports just have to be what you give us and the answer to that is no we've created many
different custom reports
we can take existing standard reports
and add columns to those or add additional parameters or any type of data elements you might see
that might be a little bit different
and we'll let this thing run here
so while it's running and pulling this data and at the other thing I wanted to show you
is this tool bar, because this little tool bar, within the reports is actually important. So
what you have here you have the screen so I can actually jump
to a different screen or jump to a different page page
there's a percentage i could make this
page bigger if I want
more importantly though
this is a report that you need to get the data somewhere, you need to get the data out of the system
so how do you do that
well there's this little icon right here that you can click on
and you can see all the different types of ways that you can export this data, all the different
types of formats that you can use to export the data
so here we have XML, we have CSV
PDF
we have a web archive way, excel and word so you can actually pull the data in many
different formats so if I choose PDF in this instance
it's going to run and PDF this report
and I'm just going to click open to show you what the PDF looks like, so here's the PDF of this
particular
standard report
so the reports are a really simple way, quick and easy to run your data
you know the information uh... the information's in there standard provided to
a particular format
we have to get the data, its a little more....but it's just as easy to use
within the reports judge that we have exports
so when i click on the exports
what we see is this screen where we see all the prior exports that we ran
so that at any time you can see go back and click on those and open those up
its kind of a nice feature when you think about it because if you use exports like
reports or you have a
a monthly report that you need to run
and use the export section for that
that will always be in this particular section
so it's almost like an audit history of the reports you ran. You can come back here
click on it, open up to see will report that the previous month or the previous year
now how do you actually run an export
well the first thing is there is a request an export button up in the upper left-hand
corner
so now I'm going to click on that button and now we little screen that pops up like this
so what we've actually done is we've actually added many different exports
there only used to be about two
standard exports within irthnet
so this is the sneak preview piece that
we've actually added to this
this is a really major change to the system
so previously we had this irthnet historical and irthnet standard reports
that was it
sorry, exports and that was it
what we've done three really really kind of look at where customers need of the
and the way that they need to get the data out of the system
and we use those suggestions to create
many different standard exports
so come monday morning when you come to this export section you actually see this
in here
now the important thing to remember also is that when you see things like general right here but it also says historical
if it says historical, you can pull these particular reports or exports
for as many years as we have your data
that's in our actual data warehouse database
and the CSV is the actual format that its going to be pulling
here's a standard XML, this is actually going to be pointed
this particular export points to our production database
and will generate XML
but the thing is this is just as simple to use
I want to run the closed ticket listing i just ran
export reports
above click on that
I'm going to choose whatever those parameters are here so I can choose the same exact parameters
six one two thousand thirteen six twenty
six one six two thousand thirty
I can export it to a zip file or I don't have to do that if I don't want to
what the actual
CSV file
and now just click save
and now just like we saw from the ticket summary screen how it brought you back to
the export
here is our export right here that's cued up and ready to run
the other nice thing about this is that this export
if you're pulling a lot of data from many years
this will cue up in the background and run in the background and it won't stop you from continuing to do your
work with the actual irthnet system
within the Utilisphere itself
once this is done you simply click on the file name here
and that you could pull down, view it and open it in excel as a CSV file
so that is the functionality of irthnet itself
that's the ticket summary screen, the reports and the exports
and now what we're going to do is move onto a little bit
different functionality within intelligence center and show you some ways
that you can get your data out of that
so what we have up here, some of you might not have this link it depends on a
particular packaging and licensing but within intelligence center we have many
different options
one of those options here is what we call the dashboards
so when i click on the dashboards
it's going to pop up and show me what those dashboards are, so you can see I have
things here like
the open ticket by type
open tickets by due time and so on
now the other thing to remember about that dashboards is that these things are not
static they can actually change and what we can do is create dashboards for you
so you can see I have things like operator charts, locator charts
now if I come in here and click on real time charts for instance
we're going to see a different view of this particular data
and these things can actually be dependent
on the job that you do as an individual
and you can see different dashboards when you log in for you verses someone else
so if you need dashboards or have needs for different types of dashboards just let us know what those
are and we can help you out
and another thing also is that you can customize, so you see here
kelly's dashboards
we could actually have a screen particular to an individual that would have
their particular dashboards
so within the operator charts, if I come back
what we have is we have drill down options which say next level and ticket summary
now the thing to remember is that you can always get your data out of
any level of this particular drill down within the dashboards
so there's excel, PDF, RTF, Text, I can actually just click on the export button
to get that data out
more importantly you can actually use this to drill down on the data
so here we have open tickets by type we have 1400 regular tickets
if I click on this piece of this particular dashboard
it's going to drill down, break those tickets down by one call center
and again I can actually export it at this level now and actually pull it
from this particular grouping or this particular chart
now the other thing that's interesting here is if I actually click on this another
level, go down, drill down another level
here it takes me to open tickets by code
again i can export this particular chart
or if I click on it again
its eventually going to take me to the raw data that created that particular chart
so here's the raw data right here, now this is just bringing you back to the ticket summary screen
showing you that raw data
so you can still get your data out of the screen by actually coming up here
to select an action to perform
and here's the exports we just walked through on the ticket summary screen
so you can come in here, you can export a shape file and send it to a GIS system
you can export text file
HTML, you can open that in excel and that type of information you can get out of the system
one of the other important functionalities within the intelligence center
is really the self service reports
what this is really used for is you can create your own report and
pull in whatever data you want to pull in
and you can create your own charts and export that data out of it
so when i click on that self-service reports screen here you can actually save those too
if it's a report you're going to run
and you can save those under a category in a particular report
and you can re-run those self-service reports that you pulled
But what i'm going to do is create a new one, so I'm going to click on the new button in the upper right hand
corner
and this is the screen that we see when we first come into self-service
reports
on the left hand side are all of the data elements that you can add or report on
to date
within this particular module
now the thing is that
if there is data that you would like to report on that's not in here, just let us know
what that is
and we could get that information
the first question is how to create actual report within self-service analytics
what we have is we have this data set on the left hand side
all the data that starts with a dot
is data that will actually be in the data area, data that can be summed or analyzed
so for example, maybe we want to focus on ticket counts
so I'm going to come over here to data area, put in my ticket count within the data area
and i could run this and just get a ticket count and it will only have one number
now lets add some information with rows and the areas
so making the row i'm going to add in the code and I want to see ticket count per code
and I want to do that per creation here, so I just drag creation here and add that as a column
and now I come down to the bottom and click my update button
it's gonna actually run this particular self-service analytics report
and display that information
so here it is on the left hand side you can see per code
per year and this is my ticket summary within each one of these
now the thing is, maybe this doesn't give you the
information you want to see
so what we can do is, if I come down here, lets say we want to see
the code per one call center
so I'm going to come down here and grab and the OCC name, drag
this above code
and you can build these reports, the point of this is that these
reports don't have to be static, you can change them at any time, modify them yourself by
dragging and dropping
i come in here I add an OCC name, I click update
now watch what happens
so now what we're seeing
are all the ticket counts per year per one call
now where did my code go because we still have code in this report
well you can see the plus sign now beside each of these particular
one calls
i click on the plus sign
and now what its going to do is show me the codes per this particular one call and
the ticket summaries per year
so it gives you so additional information
well maybe you don't want this information for 2008-2009
so what do you do? well you can easily filter
by any of the information you put in here, so if I click on this drop down
here show all, I can uncheck show all, and then check the years that I want
or maybe you even want a particular one call
again click on this little arrow
just choose one of the one calls that I want
now another really cool thing about this particular
about the self-service reports
are you going to create charts off of these things
so when i come over here click on the actual show charts
it's going to display some type of initial chart, so here's the chart it
initially displays, now
because we have so much data in this particular report this chart looks a little bit
ugly
but the easy thing that you can do is, that there is different types of reports
or different types of charts you can display
and you can see all different types of their scatter plot, area charts
and so on
if i choose something like a stacked bar chart
it will refresh here, give it a second
now this report looks a little bit more usable so it kind of condenses that data
now we're seeing our particular years
so in 2008 I had
a lot of uh... tickets here
for this particular one call
and now you see a little bit more information now the other thing that's
interesting that you can come in and export this particular chart
right from this particular screen itself
you can export that again as excel, RTF, PDF, and text
now also if i want to go back, I'm just going to click on my show grid button here
i go back to the raw data, maybe you want to take a look at the raw data so how do i
get that out system well again
upper right hand corner
you can simply export this data as a PDF
excel, RTF, or text
despite the export
the other thing is that the right click is also a functioning things so
if i want to open up every single one of these particular codes and
see all the codes underneath each one call
you know you don't have to go through click one by one to do that
what I do is right-click on it
and I can say expand which will expand just the one I right-clicked on or
expand all, which will expand all the one calls and show all the codes underneath each one call
so within this particular system, this particular model, you have the ability
to create whatever reports you want to create
you have the ability to pull charts off those reports
and you can export that data out and do your own analysis on it if you need
so that is the self-service analytics piece
so the next thing we have within intelligence center is one of our newer
pieces and it's called the Geodata Viewer and this was just released
within the last quarter
so if I click on the geodata viewer, what this is displaying is
a map of all the different data elements that we have in here
so right now
from this level we have some red dots
these red dots are the actual tickets
and then we have some little yellow triangles and these are claims or
damages that are in the system
so if i first open up my key I can explain my data that we have in here
then you'll kinda see things a little bit differently
so we have different base layers and you can choose what those are, if I want to
look at
big streets verses big hybrid
i can see what that is here
now have another thing that we call overlays which are actually map layers
and these overlays to be basically whatever you want
you know right now we're showing an example of integrity data on the oil and gas side
but if you're a telecom and you have router outages you want to put in here, you can put router outages in here
if you're a municipality
and you want to put in high priority areas for water lines
that go into hospitals or dialysis centers you could do that type of thing
so whatever data you want in here you can have in here
the other thing is on the upper left hand side we have to select run
what this is
this controls data
this specific to the facility itself specific to the pipeline or the telecom
fiber or something like that the water pipe
and the reason that we have this is that data is point in time
data
if you have a high priority waterline
it's going to stay a high priority until something moves and then you can upload a new one
uh... new particular high priority area or a high consequence area
on the gas side
if I choose the distribution button here, look at North Carolina
were going to see some of that facility information displayed
now the slider is used for real time information, data that comes in on a
daily basis, every second
this slider controls that data that displays on this map
so there's an example here, if I move this to the left hand side and click my refresh button
what were going to see is a lot more red dots pop up and some more
little yellow triangles
so this is showing me tickets now over a particular time range
a greater day range
it's also showing me all of my claims over a greater day range
the other thing its doing here is any real time data
your ..., your standbys,
your dig tickets, you're claims
all that's controlled by this real time slider right here
now from this view what we have, things
like this
anomaly at the tickets and visa damages
there's a larger circle here, if I click on that
it's going to give a ticket count within that particular area so i can see that
there were
thirteen hundred tickets with another
if i click on another ticket area
its showing the ticket counter as just one
same thing applies also now
if i click on a actual damage
the damage is actually a pop-up it show me all that particular damage information
so what we have here if I zoom in now
to particular area
we're going to see that information a little bit better, a little more clearly
so you see i have some big tickets in this area and I have some damages
and once we get down to a certain smaller area itself
the actual tickets information will open up
and what i can do now is that when I click on the ticket
it's actually give me information about the specific ticket attributes
so you can see here what kind of ticket is was, what's the status
can see if it was auto processed or not, the duration
who was the first dispatch find and so on
so you have all that information, same thing applies of other data elements so if I
click here on my damages
now what I'm going to see, I'm going to see some damage information attributes about that particular damage
now the other thing is that again we can actually load in all the facility data
information itself
so if I scroll out of here and what I'm going to do is zoom into an area around North Carolina
to show some information about the facility
so whatever type of facility data, if there's custom map layers you want added in here
we can add that information in
as I zoom in you can see the facility layers opening up so there's more
information showing
in this particular instance
this is oil and gas specifically but
you're actually seeing here
high consequence areas, were seeing anomaly's, we're seeing facilities
if I keep zooming into this particular smaller area
we're going to see some additional features, this is a potential impact radius or buffer
but the reality is whatever data you want to give us regarding your facilities
you can see that it on one map across historical time frames
you can see all of your real time data, your tickets, your dig tickets
your claims and all of your facility information as well, all on one map
so that is actually an important aspect
now the other thing that we can actually do behind the scenes
we can actually publish this data to you via wfs
so that's been a request we've heard a few customers
and that is a capability that we also have
so that is the geo data viewer itself
now the other piece of intelligence center
is this was something that we hear about from customers that i don't think they
realize is out there
one thing we hear is that they have a report that I want to run on a weekly or monthly
basis
or I have a
you know, the GIS team needs an export of data on a monthly basis
well the reality is that that's no problem at all we have that in the system and you can actually set
that up yourself
an example of that here, if i go to administration we have an area
that we call devices
and when I click on devices you can see different types of devices, we have fax
printer
but more importantly we have FTP and web request
this is an XML file and should be created as CSV
if there's a particular report you want to run on a monthly basis
that you open up an excel spreadsheet
you can actually set up and FTP, a monthly FTP export
so if I click on this FTP link
it's gonna open up our screen that will allow us to set that up and I'll show
that you briefly what that looks like
so here we go, here's what the screen looks like
any of your FTP
uh... exports that you have set up currently will display here
if I add a FTP device
this is the gooey piece of the user interface that you can use to actually create that
particular
FTP export to run
just take a sec here
and I'm on my wireless and on the gotowebinar...takes a little longer than normal
we'll give it another second
okay so here it is but the reality is that
you can just name whatever you want, you add in a login and password, what record you're going to
place it in
but more importantly, that same export that you saw in the reports
many of those exports are listed right here, if you want
a monthly, or a daily or weekly open ticket listing
you can come here and click on that
and just have it automatically go off to a particular FTP and go grab it
or you can do a web request with an excel file
so that is the last step and again that is for automated type exports or reports
that you would need
so that is the last step within our intelligence center
uh... piece
and I'm going to kick it back over to Mandy here to finish everything up
all right, thanks Matt
this is just a quick recap of the features and highlights that Matt
hit in the demonstration
its kind of a mix of things that
all of you on the phone have access to and then some with intelligence center
where you might not
have that yet but its to know what you're able to do with the data
so we showed you how you can fully leverage
your damage prevention data today and think about how that may help you
respond to the numerous requests that you get
for information that may also help you and your team
gain valuable insight to
improve efficiency, make more informed decisions
etc.
and with better and or easier to use data you can also reduce risk, maintain compliance
and better and more appropriately allocate the resources
uh... of your business for damage prevention and for related activities
so I'm not going to read through all the of the benefits here but if you kind of pause
and think a little bit about your own organization here and some of those tricks
things that Matt showed you
what else could that
what other benefits could that provide for you and your organization
uh...

first question here is
i think you covered it pretty good but just to reitereate
what format can get
or unit is the reality is, the answer to this question is really almost anything
so you could have custom exports and those custom exports could be in any format
that you really needed
and we really haven't been limited
uh... by any technology that's out there
now the standard exports themselves are CSV and XML
so those are the formats for the standard ones
okay and another one
can you publish the map data to our GIS?
the answer to that is yes, we actually do publishing through WFS
and that's something we can publish to you so that you can load that right into your
GIS system
that data could be historical or real time, it's up to you how you want to do that
just a reminder, the question que is there on the right
i don't know exactly where it's at on your screen, it's on the right on my screen
and you can go ahead and type in your questions and we're happy to take them
uh...
okay, one here is
can we get our own standard reports
so I think the answer is yes, right now everyone
who has irthnet
also has standard reports
but the reality is that if you want to modify the standard reports you can just contact us, we
can make changes to those add columns
if you want a completely customized report we can even do that as well
even within irthnet itself
we released a newer functionality where you can have the self-service analytics and something like that
we can actually in there for you as well
one question that we got
and it is our most popular question
are we recording this presentation?
yes we are and we'll make sure that everyone who's on this call gets the link
to this recording it'll be about a week or so before we can get that in a
format that's nice and easily consumable and out to you
but you will have that
