If you’re setting up the calendar for the first time, here are the steps you need to
follow. Step 1: Set Up Locations.
Stake administrators need to set up locations based on the places members meet for events.
To set up locations, stake administrators go to Settings (which is the gear icon) and
select Locations & Rooms. A default list of your stake locations should already appear
on the left. Select a location and click Edit in the middle column. Then you can adjust
the names, rooms, and equipment available at each location.
Once locations are set up, members can schedule these locations when they create events.
Step 2: Designate Building Schedulers. Stake administrators designate building schedulers
for each location. The building scheduler can set up restrictions that limit the times
each ward can schedule that building. To designate a building scheduler, edit a
location by going to Settings and selecting Locations & Rooms. Then select the location
and click Edit. And then click Add Scheduler and add as many building schedulers for that
location as you want. Step 3: Define Restrictions for Scheduling.
Most stakes have rules about which ward can schedule the cultural hall and other rooms
on specific weekday evenings. Building schedulers can enforce these rules by creating “reservations”
in the calendar. To create a reservation, building schedulers
go to Settings and select Reservations. Then click a time slot on the calendar when you
want to create a reservation. Step 4: Create the Calendars You Need.
You now create the calendars you need in your ward and stake. Remember the LDS.org calendar
offers not just one calendar, but as many calendars as you want. You can create a calendar
for each organization, quorum, or group. To create calendars in bulk, go to Settings
and then select Initial Setup. You can create the default calendars highlighted in blue
by selecting the check boxes (if necessary) and clicking Save calendars. You can also
click Add new calendar to create custom calendars. Step 5: Import Events from Another Calendar
If you’ve entered a lot of events on another calendar – either the classic calendar or
another calendar that uses the iCal format -- you can import these events into the new
calendar. Once you import events, you can select calendars you want to transfer the
events to. To import events, go to Settings and select
Import Events. Any events on the classic calendar will automatically
appear here for you to import. If you’re importing from another calendar, click Import
iCal Files. Once you’ve completed these five steps,
you’re ready to begin using the calendar.
